Our accommodation management team is used to manage housing for large association conferences of up to 25,000 delegates. They have excellent contacts to the leading global hotel chains and are able to negotiate competitive room rates and favourable conditions.

 

This service includes:

  • Hotel recommendations and negotiations worldwide with special considerations for your needs, requirements or restrictions
  • Organisation of any necessary deposit payments to the hotels in order to guarantee bookings
  • Setting up of hotel accounts as required
  • Coordination and communication with hotels
  • Setting up an online booking engine
  • Coordination and management of all bookings, changes and rooming lists (for individual and/or group bookings)
  • Proactive accommodation sales to participants and groups
  • On-site support
  • Final reporting and financial consolidation after the meeting
  • Compliance consulting in regards of local codes of conduct and pharma codex if applicable
